Payroll Tax Filing

Payroll Tax Filing in Cincinnati, OH, Deposits Made on Schedule

Form 941, Ohio withholding, school district tax and Cincinnati city withholding, deposited and filed for you.

Every payroll you run creates taxes you are holding for someone else. For a Cincinnati employer, that can mean four or five agencies: the IRS, the State of Ohio, a school district, the city, and sometimes a neighboring city. Each one has its own forms and due dates. We make the deposits and file the returns for each of them, on the schedule each one sets.

When You Need Payroll Tax Filing

You need help when deposits or filings start to slip. Maybe you run payroll yourself but forget to send the federal deposit until the next payday. Maybe an IRS or Ohio notice says a quarter is missing. You might not know if you are a monthly or semiweekly depositor, or you just hired someone who lives in a different city or school district. Do not wait on any of these. The federal late deposit penalty grows the longer the money sits, and Ohio holds the employer liable for tax that should have been withheld.

Our Payroll Tax Filing Process

Each year we check which federal deposit schedule applies to you, monthly or semiweekly, based on your past payroll. Then we deposit your federal income tax, Social Security and Medicare withholding electronically, because the IRS requires employment tax deposits by electronic transfer. Form 941 is filed each quarter by April 30, July 31, October 31 and January 31, and Form 940 for federal unemployment is filed once a year.

For Ohio, we file the IT 501 and pay what was withheld on your state schedule, which is quarterly, monthly or partial-weekly based on how much you withheld in the past year. Workers who live in a taxing school district get an SD 101 filing. The Ohio IT 941 and SD 141 yearly reconciliations are due January 31.

Cincinnati City Withholding for Employers

If your employees work in Cincinnati, you withhold the city’s 1.8% income tax from their pay and send it to the city. Early in the next year, you file the city’s own yearly wage reconciliation, its Form W-3, to match what you withheld against what you paid in. Withholding generally follows where the work is done. A College Hill business with a worker who also takes jobs in Springdale or Forest Park may owe withholding to more than one city. Keeping a record of hours by city is how each one gets its share.

Payroll Tax Filing Cost in Cincinnati

The cost depends on how many people you pay and how often, how many cities and school districts are involved, and whether you deposit monthly or semiweekly. Catching up missed quarters takes more work than staying current. We tell you the fee before we start.

Common Questions

The IRS charges a penalty based on how late it is: 2% for one to five days, 5% for six to fifteen days, and 10% after that. It rises to 15% if the tax is still unpaid more than ten days after the first notice. Paying sooner always costs less.

Usually yes, unless you have filed a final return or the IRS has you on a yearly filing schedule. A missing 941 can trigger a notice even when no tax was owed.
